Terms of participation

1 .     PARTICIPANT APPLICATION                                  

PIF accepts participant applications (original A1 form, signed) provided that the registration fee and the exhibition space lease deposit (as referred below) are paid .

2.      REGISTRATION FEE                                 

2.1 The registration fee includes:

- Handling costs connected with exhibitor's registration and exhibition space lease order;
- Exhibitor's cards to allow entry on fairgrounds (for entry card rules see point 4 of the Specific Provisions);
- Exhibitor's entry (company name, address and phone/fax data) in catalogue and internet "Alphabetical Directory of Exhibitors";
- Exhibitor's entry (Exhibitor's company name) in catalogue and Internet "Exhibitor directory as per Thematic Scope" (up to 5 product groups);
- 1 catalogue;
- Participation of representative of an exhibitor in the branch evening and other fair events with free entry accompanying Budma 2010 fair;

2.2 The registration fee is PLN 600 + 22% VAT.

2.3 The fee should be paid within 14 days from invoice issuance date or within 5 days after invoice receipt.

2.4 The registration fee to be paid by foreign exhibitors will be invoiced at the average EUR exchange rate announced by the National Bank of Poland on the last workday preceding the invoice issuance date.

2.5 The registration fee shall not be reimbursed where a participation offer is cancelled or a participation agreement is rescinded.

3.         EXHIBITION SPACE LEASE, TERMS OF PAYMENT                                  

3.1 The price for the exhibition rent covers rent for the exhibition space lease for fair duration, stand construction and dismantling periods

3.2 In the calculation of amount due for a space lease, the size of space is rounded up to a full square meter (mathematical principles).

3.3 The minimum stand area is 6 m2.

3.4      EXHIBITION SPACE LEASE DEPOSIT

3.4.1 Deposit in respect of exhibition space lease is required for participant application together with the registration fee:

3.4.2 Deposit rate:

  • 20% of gross space value for Orderers who submit application and pay the deposit by 23.06.2009
  • 50% of gross space value for Orderers who submit application and pay the deposit through 23.06.2009 - 11.12.2009
  • 100% of gross space value for Orderers who submit application and pay the deposit after 11.12.2009
3.5 A deposit paid by an Orderer upon application will not be invoiced. It will be considered the advanced payment upon the space rent the day a contract is concluded (Confirmation of Participant Application). An invoice will be issued within 7 days from the date of contract conclusion.
3.6 Remaining payment required for space rent will be invoiced by PIF not earlier than 30 days prior to the stand construction period (space accessible to exhibitors). The amount due as per an invoice ought to be paid within 5 days from the receipt of the invoice or 14 days from the date of its issue. Transfers free of bank charges are appreciated.
3.7 All settlements for space rent between foreign exhibitors and PIF are carried out according to the average EUR exchange rate by National Bank of Poland on the day of application deadline. The a/m exchange rate is being announced by NBP on the last workday preceding the application deadline.
3.8 By invoicing the space rent VAT will be added.

4.      CO-EXHIBITOR'S APPLICATION FEE                                 

4.1 Exhibitors indicate co-exhibitors on the A2 form. PIF shall charge exhibitor a co-exhibitor application fee (as per point 2.3.1.and point 2.3.2.of the Regulations for Trade Fair Participants).

4.2 The registration fee includes:
- Handling costs connected with co-exhibitor's registration;
- Exhibitor's cards to allow entry on fairgrounds (for entry card rules see point 4 of the Specific Provisions);
- Co-exhibitor's entry (company name, address and phone/fax data) in catalogue and internet "Alphabetical Directory of Exhibitors";
- Co-exhibitor's entry (Exhibitor's company name) in catalogue and Internet "Exhibitor directory as per Thematic Scope" (up to 5 product groups);
- 1 catalogue;
- Participation of representative of an exhibitor in the branch evening and other fair events with free entry accompanying Budma 2010 fair;

4.3 The co-exhibitor application fee is PLN 300 + 22% VAT for each co-exhibitor.

4.4 The fee should be paid within 14 days from invoice issuance date or eithin 5 days after invoice receipt.

4.5 The co-exhibitor application fee to be paid by foreign exhibitors will be invoiced at the average EUR exchange rate announced by the National Bank of Poland on the last workday preceding the invoice issuance date.

5.      T E R M S  O F   P A Y M E N T   F O R    T H E  R E M A I N I N G  S E R V I C E S

5.1 All settlements of accounts for the remaining services provided to foreign exhibitors (catalogue entry, catalogue advertisement, advertising structure, invitations, entry passes, electrical and water supply installation, furniture and other equipment hire, personnel hire, stand cleaning) are carried out by PIF according to the average EUR exchange rate by NBP in force on the first day of the fair. The a/m exchange rate is being announced by NBP on the last workday preceding the first day of fair..

5.2 The ordered fair services will be invoiced by PIF in 7 days from the last day of the fair. By invoicing the VAT will be added.

6.   FEE FOR ELECTRICITY USE

6.1 Exhibitors shall pay a flat fee for use of electricity during the fair under the following rates depending on the electrical parameters:

6.2 The fee for electricity use shall be invoiced within 7 days from the last day of the fair. By invoicing the space rent VAT will be added.
7.        FEE FOR WASTE REMOVAL
7.1 PIF shall charge stand constructors a fee for waste disposal (as per point 5.8 of the Regulations for Trade Fair Participants*). The rates depend on the size of the allocated exhibition space area and are as follows:

7.2 The fee for waste removal shall be invoiced within 7 days from the last day of the fair. By invoicing 7% VAT will be added.
